Your information and learning data
LearnOS is designed for learners and families. This notice explains the main information the service may use, why it is needed and how learner and parent or guardian information is kept separate.
1. Information LearnOS may hold
Depending on how the service is used, LearnOS may process account information, learner-profile information, school year, curriculum and subject choices, learning preferences, assessment and activity information, progress, reports, tutor choices, family connections and subscription information.
Payment-card details are handled through the payment provider rather than being stored as ordinary LearnOS profile data.
2. Why the information is used
Information is used to provide the service, authenticate accounts, keep learner profiles separate, apply the correct year-group access, personalise teaching, generate progress information, provide authorised family visibility, operate subscriptions, maintain security and respond to support needs.
3. Children and learner profiles
Each learner has an individual profile. A parent or guardian completing setup for a learner does not create a second version of that learner profile.
Where parent or guardian monitoring is enabled, LearnOS should make that relationship understandable to the learner and keep the permissions limited to the features that have been enabled.
4. Parent and guardian connections
A linked adult may be allowed to see progress, lesson reports or profile settings depending on the permissions associated with that family connection. Those permissions are separate from the learner’s own learning record.
5. AI-supported learning
LearnOS may use learner-profile choices and the current learning context to provide AI-supported explanations, hints, recommendations and tutor interactions. AI support is intended to assist learning and should not be treated as professional medical, legal or other specialist advice.
6. Service providers
LearnOS may use specialist providers for functions such as authentication, database hosting, application hosting and payment processing. Information should only be shared with providers to the extent needed for the relevant service.
7. Retention and account closure
Information should be kept only for as long as it is needed for the service, legal obligations, security, dispute handling or legitimate record-keeping. Account closure does not always mean every record can be deleted immediately where retention is legally required.
8. Privacy rights
Depending on the circumstances, individuals may have rights relating to access, correction, deletion, restriction, objection and portability of personal information.
Children have data-protection rights in their own right. A parent or guardian may sometimes exercise rights on a child’s behalf, but that does not remove the child’s right to clear privacy information.
9. Questions and requests
Use the LearnOS Contact page for privacy questions, access or correction requests, or concerns about a learner profile.
